Privacy Policy

This Policy explains how Aerarium (Pty) Ltd handles personal information under the Protection of Personal Information Act, 2013 (POPIA). Read it together with our Terms & Conditions.

1. Who we are

1.1 Aerarium (Pty) Ltd, registration number 2026/614186/07 (“Aerarium”, “we”, “us”), is the responsible party for personal information processed through the Service, as defined in POPIA.

2. What information we collect

2.1 Treasurer account information: name, email address and phone number.

2.2 Group records entered by the Treasurer: member names, contribution and payout records, and, where a Group lends money, loan records. A Treasurer provides this to run the Group’s record.

2.3 Member verification: where a Group enables statement sharing, a Member’s phone number, used only to verify that Member’s access.

2.4 Billing information: invoices and payment references. Card and bank details are handled by our payment partner — we do not receive or store card data.

2.5 Technical information: log, device and usage data, used to operate and secure the Service.

3. Why we process it, and our lawful basis

3.1 To provide the Service and maintain a Group’s record — performance of our contract with you.

3.2 To bill, support, and communicate with Treasurers — contract and legitimate interest.

3.3 To keep the Service secure and to comply with the law — legal obligation and legitimate interest.

3.4 Where consent is the basis (for example, partner offers), we rely on that consent, which you may withdraw.

4. Our consent promise

4.1 We do not share a Member’s personal information with third parties without that Member’s own consent. We keep an audit log of consent events.

4.2 Partner offers are opt-in. A Member’s details are shared with a partner only if the Member chooses an offer and gives explicit consent first.

4.3 Referrers receive only aggregate membership counts — never Member names or contact details.

5. Who we share information with

5.1 We use trusted service providers (“operators” under POPIA) to run the Service: hosting and database, email and SMS delivery, and payment processing. They process personal information only on our instructions and under agreement.

5.2 We do not sell personal information.

6. Processing outside South Africa

6.1 Some operators may process information outside South Africa. Where they do, we take the steps POPIA requires (section 72) to ensure the information receives comparable protection.

7. Security

7.1 We use reasonable technical and organisational measures to protect personal information, including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security.

8. How long we keep it

8.1 We keep personal information only as long as needed for the purposes above, or as the law requires. Consent and audit logs, and financial records, are retained for legal and integrity reasons.

8.2 When information is no longer needed, we delete or anonymise it.

9. Your rights under POPIA

9.1 You may ask to access, correct, or delete your personal information, object to processing, or withdraw consent — subject to the law and to records we are required to keep.

9.3 You may also complain to the Information Regulator (South Africa). Current contact details are published at inforegulator.org.za.

10. Members and the Treasurer’s role

10.1 In many cases a Treasurer records information about Members in order to run a Group. The Group is responsible for having a lawful basis to record that information.

10.2 A Member may exercise their POPIA rights by contacting their Treasurer or us, and we will assist as appropriate.

11. Children

11.1 The Service is intended for adults (18 and over) and is not directed at children. We do not knowingly collect children’s personal information.

12. Changes to this Policy

12.1 We may update this Policy. We will post the updated version with a new effective date, and give notice of material changes where reasonable.
